Make bills per operation, so a workflow with many steps costs more each time it runs. Zapier is the easiest to start with and the fastest to become expensive at volume. We default to n8n for anything that runs frequently or handles data you would rather keep on your own infrastructure, but the honest recommendation depends on your run volume, not on our preference.
There are two separate costs and suppliers often quote only the first. The build is one-off. The running cost is ongoing, it scales with volume, and it belongs on the platform you chose — hosted plans in this space commonly start in the low tens of dollars per month and climb into the hundreds at scale, plus whatever any AI model calls cost. Self-hosting changes that equation and can remove it almost entirely, at the cost of maintaining the infrastructure. We will show you the run-cost projection before you commit to a platform, not after.
